Workerra Workforce Management App – Privacy Policy

Summary for App Stores:

Workerra is a workforce management platform with shift management, geo-fencing, payroll, timesheets, and invoicing. This Privacy Policy explains what data we collect, how we use it, and your rights.

1. Information We Collect
  • Personal Info: Name, email, phone, job title, employee ID, payroll data
  • Workforce Data: Shifts, schedules, attendance, timesheets, invoices, performance ratings
  • Location Data: Geo-fencing info (with consent) for attendance and operations

  • Documents: Resumes, IDs, and certificates uploaded for hiring/verification
2. How We Use Your Data
  • Manage shifts, timesheets, payroll, Invoices and schedules
  • Track employee availability, attendance, and performance (geo-fencing included)
  • Generate invoices, reports, and dashboards
  • Secure and optimize the app experience
3. Data Sharing
  • Shared only with authorized employers, service providers, or regulatory authorities
  • We do not sell or rent your data
4. Security
  • PCI-DSS compliant encryption
  • Role-based access and secure servers
  • Continuous monitoring
5. User Rights
  • Access, update, or delete personal information (subject to legal requirements)
  • Withdraw consent for non-essential data collection
6. Additional Note on Account Deletion

When a new user joins the portal for job search, they can apply for jobs. Once they apply, a candidate ID is generated and the process from interview to hiring begins. If the candidate gets hired, their profile is converted into an employee profile. At this stage, the HR team fills in the employee’s personal details, assigns payroll cycle, defines tasks, allocates payroll category, and manages timesheets.

Because of this flow, providing a direct account deletion option to the user could cause significant issues in our system. Therefore, in our app, the option to delete an account is role-based and managed by HR.

However, users can delete their account themselves only until they are hired as employees. After conversion to employee status, account deletion will remain under HR’s control.

App Purpose for Location Permissions:

Workerra requires location access to accurately track employee attendance and shift check-ins.

1. Foreground Location (ACCESS_FINE_LOCATION / ACCESS_COARSE_LOCATION)
  • Allows employees to check in and check out of work shifts.
  • Validates the employee’s location for geo-fencing (ensuring they are on-site).
2. Background Location (ACCESS_BACKGROUND_LOCATION)
  • Tracks ongoing shifts when the app is running in the background, ensuring accurate attendance logs.
  • Notifies employees if they enter or leave a designated work location to support compliance and workflow automation.

Why It’s Needed:

  • Ensures attendance data integrity.
  • Prevents fraudulent check-ins outside approved locations.
  • Supports a geographically distributed workforce across multiple locations.

User Control & Privacy:

  • Users are explicitly notified and prompted for permissions.
  • Location tracking is only active during work hours or approved shifts.
  • Data is used strictly for attendance and workforce management purposes.

Additional Security – QR/Barcode Scanner:

To further strengthen location-based attendance validation, Workerra also includes a supervisor-managed scanner system:

  • A unique QR/barcode is generated and maintained by the supervisor.
  • Employees must physically visit the supervisor each day and scan the code.
  • Punch in and punch out happen only through this scanning process.
  • Codes are refreshed every 24 hours, ensuring authenticity and preventing misuse.

Read Media Images

The app allows users to upload or update their profile photos from their device. The permission is used only to let users select an image for upload through the system picker. The app does not access, read, or modify any other images or files on the device.

All File Access

Our app allows users to upload a profile photo and resume, and to download their updated resume or documents in PDF format. The app only accesses the specific files chosen or generated by the user through the system file picker or app download folder. It does not access, read, or modify any other files on the user’s device.

Technical Reason

The Workerra app allows users to upload their profile images and resumes as part of their account setup or job application. File selection is done using the system file picker (ACTION_GET_CONTENT / MediaStore API). When users download their updated resumes or generated PDF documents, the files are saved to the app-specific download directory using scoped storage. The app only accesses files explicitly selected or created by the user and does not require or use “All files access” (MANAGE_EXTERNAL_STORAGE).
